Care home software prices in the UK: what suppliers actually publish

How UK care home software is priced, what G-Cloud list prices show for 10 to 50 beds, set-up fees, contract terms and the questions to ask. Sourced.

Last checked: 17 October 2026

Summary

Most UK care home software suppliers do not publish a price on their own website. The clearest public figures are G-Cloud list prices. For a 30-bed home, G-Cloud list prices show about £325–£448 a month for one supplier's care-recording product and £390 for another's core record. For a 10-bed home, the same list prices are about £130–£200, which can be less than Kiwi's £179.95. The products include different things, so compare like with like. Kiwi does less than some of these products; see "Where Kiwi sits".

Why prices are hard to find

Of the eight other UK care software suppliers named in this guide, which we researched in October 2026, none published a full price list on its own website. Some publish prices on G-Cloud, the UK government's public-sector catalogue. Some publish one example in a blog. Most ask you to book a call.

That is not always about hiding anything. A price can depend on your size, your modules and how much help you need to go live. But it does make budgeting hard. It also makes it hard to compare suppliers before you have spent hours in demos.

This guide sets out what is published, how to read it, and what to ask.

The five ways care home software is priced

Per bed

You pay for each registered bed, per week or per month. Person Centred Software says it is "priced on the beds you manage". Nourish and Access publish per-bed list prices on G-Cloud.

Watch for: whether you pay on registered capacity or on occupied beds. Nourish's terms price Better Care on registered capacity, so empty beds still count. Access's G-Cloud price list bills on the minimum contracted value or actual beds in the prior month, whichever is greater.

Per resident or service user

You pay for each person you support. Log my Care's help centre says its cost is based on each active service user. CareDocs offers pricing by service user as one option.

Watch for: minimum numbers. Log my Care's sales-led terms refer to a minimum number of active residents set in the order.

Per staff user

You pay for each member of staff who logs in. OneTouch's G-Cloud price is per active staff user. Care Vision prices by number of users and modules.

Watch for: what happens when you give every carer their own login, which you should. High staff turnover can push the bill up.

Per hour of care

Mostly used in home care. For example, Nourish lists Better Care at Home at £0.20 per hour of care rostered on G-Cloud 15.

Watch for: this rarely suits a residential home.

Per home

You pay one price for each home, whatever its staff or resident numbers within a size band. This is how Kiwi is priced: £179.95 per home per month up to 30 beds, and £229.95 for 31 beds or more, as of 17 October 2026.

Watch for: what the bands are and what is included. Ask whether every module is in the price.

What G-Cloud list prices show at different home sizes

G-Cloud is the government's catalogue for public-sector buyers. Suppliers list their prices there, so they are the most reliable public figures we found. They are list prices: a private home may be quoted differently.

Three of the suppliers we researched had G-Cloud prices we could apply to a care home. The other suppliers we researched, including Person Centred Software, CareDocs, Care Vision, Care Control and Log my Care, had no G-Cloud listing when we checked.

All figures exclude VAT. "Monthly" figures are annual list prices divided by 12. Per-bed weekly prices are converted as price × beds × 52 ÷ 12.

How to read these tables:

  • At 10 beds, Nourish's and Access's list prices can be lower than Kiwi's. At 20 beds and above, the per-bed list prices shown are higher than Kiwi's. The products do not all cover the same things, so check which modules each line includes before you compare totals.
  • Access's worked example names the 15% Standard Success Plan; its total also applies the 20% Evo platform base fee, so we show both lines.
  • Access bills annually in advance. Nourish bills on registered capacity.
  • G-Cloud prices are for public-sector buyers. Ask each supplier for a written private quote.
  • Kiwi doesn't charge UK VAT (it's supplied from outside the UK). If your organisation is VAT-registered you may need to account for VAT under the reverse charge; check with your accountant. G-Cloud prices above exclude VAT.

What Kiwi does not do, next to the comparison above: Kiwi is not on the NHS Assured Solutions List and has no GP Connect. It has no payroll, no pharmacy link and no barcode scanning. Rota is available as Kiwi Rota, an optional add-on at £69 per home per month. There is no offline mode in the web app; offline recording is coming with the Kiwi Care iPhone and iPad app (coming soon). The Kiwi Family relatives' app is coming soon. If you need any of these today, a supplier above may suit you better, even at a higher price.

Where Kiwi sits

Kiwi is our product. Here is exactly what it costs.

Kiwi: £179.95 per home per month up to 30 beds, £229.95 for 31 beds or more, as of 17 October 2026. Every module included. Free set-up. Monthly plans: cancel any time, no notice period. Annual plans renew for 12 months unless cancelled before renewal. 30-day free trial: your card is taken at sign-up, nothing is charged until day 31, and billing then starts automatically unless you cancel. Kiwi doesn't charge UK VAT (it's supplied from outside the UK); if your organisation is VAT-registered you may need to account for VAT under the reverse charge; check with your accountant.

  • Every module is included: eMAR with PRN and controlled drugs, care plans including Health Action Plans and Person-Centred Plans, ABC charts and behaviour recording, Hospital Passport, HR records and invoicing.
  • Free set-up: we send you a list of what we can import for you, then load it.
  • 20% off your Kiwi subscription for 3 homes, 25% for 4 and 30% for 5 (Kiwi Rota isn't included). Groups of six or more get one group price.
  • 10% off if you pay annually. Annual fees are not refunded part-way through a year.

What Kiwi does not include, so you can compare fairly: Kiwi is not on the NHS Assured Solutions List, has no GP Connect, pharmacy link, barcode scanning or payroll (rota is the optional Kiwi Rota add-on, £69 per home per month), and has no offline mode in the web app. Offline recording is coming with the Kiwi Care iPhone and iPad app (coming soon). The Kiwi Family relatives' app is coming soon. Today Kiwi runs in any browser.

For small homes, Kiwi may not be the lowest-cost option. At 10 beds, Nourish's and Access's G-Cloud list prices are below Kiwi's, and Log my Care's Starter tier is free for sites with fewer than 10 service users. Price is one line on your scoring sheet, not the whole sheet.

Questions to ask before you sign: a checklist

Copy this list into your notes for every supplier. Ask for answers in writing.

Price

  • What is the monthly price for my home, in writing, ex VAT and inc VAT?
  • Is it per bed, per resident, per staff user, per hour or per home?
  • Is it billed on registered capacity or occupancy?
  • Which modules are included? Which cost extra (eMAR, HR, finance, family app, AI)?
  • Are there platform, support-plan or success-plan fees on top?

Set-up

  • What is the set-up fee and what does it cover?
  • Is data migration included? Training? How many days?
  • Do I need to buy or lease devices?

Contract

  • What is the minimum term?
  • Does it auto-renew? For how long?
  • How much notice must I give, by when, and how?
  • Can I reduce beds, users or modules during the term?
  • How much can the price rise each year? Is there a cap?

Trial and exit

  • Can I trial it on a real shift before I sign?
  • Does a free trial turn into a paid plan automatically? On what date?
  • What do I get back if I leave, in what format, and within how many days?
  • Is there a fee for exporting my data?

Three-year total

  • Add it up: set-up + (monthly price × 36) + training + devices + likely price rises. Compare that, not the headline.

Our scoring sheet for comparing care home software covers the non-price questions, and our buyer's guide to care home software sets out what eight suppliers and Kiwi publish.

Frequently asked

How much does care home software cost in the UK?

It varies widely and most suppliers quote privately. When we checked on 17 October 2026, public G-Cloud list prices for a 30-bed home showed about £325 to £448 a month ex VAT for Access Point of Care and £390 for Nourish's core record, before set-up. For a 10-bed home the same list prices were about £130 to £200. Kiwi publishes £179.95 per home per month up to 30 beds and £229.95 for 31 beds or more, with no UK VAT charged (VAT-registered organisations may need to account for VAT under the reverse charge).

Why don't care home software companies publish prices?

Many price by beds, residents, staff users or modules, and prefer to quote after a call. Of the eight other suppliers named in this guide, which we researched in October 2026, none published a full price list on its own website. Some publish public-sector list prices on G-Cloud.

What is a G-Cloud list price?

G-Cloud is the UK government's catalogue for public-sector buyers. Suppliers publish their list prices there. They are a useful guide, but a private care home may be quoted a different price.

Are there set-up fees for care home software?

Often, yes. Published fees we found ranged from £499.99 to £4,600, plus extras such as a mandatory £187.50 workspace fee. Some suppliers do not publish theirs. Kiwi is our product. Free set-up: we send you a list of what we can import for you, then load it.

What contract length is typical for care home software?

The published terms we found ranged from monthly rolling to a 36-month initial term. Many auto-renew for 12 months and need 30 to 90 days' notice. Kiwi's monthly plans can be cancelled any time with no notice period. Kiwi's annual plans renew for a further 12 months unless you cancel before the renewal date.

Is per-bed or per-home pricing better?

It depends on your home. Per-bed pricing can cost less for very small homes. Per-user pricing can suit homes with few staff. Per-home pricing is the simplest to budget. Compare the three-year total, including set-up and price rises.
