Kiwi Rota: care home rota software your staff use on their phones

Kiwi Rota is care home rota software: a staff rota system for planning shifts, clocking staff in and out at the home, managing leave and sickness, and preparing a pay export for your payroll provider.

Managers plan the week on a computer, and care staff see their shifts, clock in and ask for leave on their own phones. That's e-rostering in practice. It costs £69 per home per month, with any number of staff, and works alongside Kiwi or on its own.

Rota management: plan the week

  • Plan each home's shifts in a week view, with clash checks, including overnight shifts and staff who work across more than one home.
  • Save your usual shifts as presets, and copy a week to the weeks you choose.
  • Auto-fill drafts the week you're planning from each person's usual pattern at that home over the previous six weeks. It never books anyone over approved leave or a clash. You check it, change what you need, then publish.
  • See unfilled shifts at a glance, and find who's free to cover them.
  • Publish the rota when it's ready. Staff see their published shifts in the staff app.
Plan each home's week in one view, with clash checks so nobody is booked in two places at once.
Who it's for

A rota system for care homes and supported services

Residential and nursing homes

plan day, night and overnight shifts for each home, with clash checks, and see unfilled shifts at a glance.

Learning disability and supported living services

plan shifts across several houses or services in one company. Staff who work across more than one site appear on each site's rota, and clash checks stop anyone being booked in two places at once.

Mental health services

the same week view, clock-in at the service and a sickness and absence record, with sickness details limited to the people who need them.

Groups with several homes

one company with each home's rota and floaters across homes.

A staff app on their own phone

Each carer gets their own Kiwi Rota sign-in on their phone. From it they can:

  • see their shifts;
  • clock in and out at the home;
  • ask for leave;
  • read staff news.

There's nothing to install from an app store: it opens in the phone's browser and can be added to the home screen.

Staff ask for leave on their phone; managers approve or decline.

GPS clock-in at the home

Kiwi Rota checks staff are on site when they clock in, using the location of each home.

  • A clock-in from outside the zone you set (50 metres by default) is refused, and managers see how far away each clock-in was.
  • You set the distance for each home, or switch the check off for a home where it doesn't suit.
  • The phone's location is read only when staff clock in and clock out, and is stored only to about 100 metres.
  • Stored positions are cleared after 90 days; the timesheet keeps just the distance from the home.
  • It's a check at clock-in and clock-out, not tracking.

Timesheets, leave and sickness

  • Timesheets: built from clock-in times. Managers adjust, approve and sign off a period, and lock it. If a checked time is changed or un-approved after sign-off, that sign-off is undone, so a sign-off always matches the hours that were checked.
  • Leave: staff ask on their phone and managers approve. Holiday, sick, unpaid and other leave, in hours or days, with a calendar-year holiday balance that staff can see on their phone.
  • Sickness and absence: record sickness, absence and no-shows against shifts, with a Bradford factor score and a 12-month summary. Sickness details are limited to the people who need them, through permissions.
Timesheets are built from clock-ins; managers check, correct and sign them off.
Kiwi Rota works out each person's Bradford factor from the sickness and absence you record on the rota.

Pay export for your payroll provider

Set each person's pay rate (hourly, daily or monthly).

  • Kiwi Rota then produces a gross-pay export, as CSV or PDF, with hours, days, rate, sick days, holiday, deductions, additions and gross pay, ready to send to your payroll provider.
  • Kiwi Rota doesn't run payroll: it doesn't calculate tax, National Insurance or pensions.

Control who sees what

  • Roles for superusers, managers and staff, plus permission settings for each manager. New managers start without HR details, pay rates or the pay export until a superuser switches them on.
  • Managers and superusers sign in with a two-step code from an authenticator app.
  • A list of right-to-work permits expiring in the next 90 days.
  • An audit log of changes.

With Kiwi, or on its own

If you use Kiwi for care records, the Super User, and the managers they choose, open Kiwi Rota from the Rota button in Kiwi's top bar.

  • Kiwi Rota has its own secure sign-in, and staff details aren't shared between the two.
  • If you only need a rota, Kiwi Rota works on its own.

Questions

Frequently asked questions

What is care home rota software?

Care home rota software is a system for planning staff shifts across a care home or group of homes, and for recording who actually worked. Kiwi Rota covers the rota itself, clock-in on staff phones at the home, leave and sickness, timesheets and a gross-pay export for your payroll provider.

Can care staff see their rota on their phone?

Yes. Each member of staff gets their own Kiwi Rota sign-in on their phone. They can see their published shifts, clock in and out at the home, ask for leave and read staff news. It opens in the phone's browser, so there's nothing to install from an app store.

How does clock-in work?

Staff clock in on their phone when they arrive. Kiwi Rota checks they're at the home using a distance you set for each home, and you can switch the check off for a home. Location is read only at clock-in and clock-out, stored only to about 100 metres, and cleared after 90 days.

Is Kiwi Rota GPS rota software?

It has GPS clock-in, not GPS tracking. When a home has location checking switched on (the default for new homes), the staff app reads the phone's location at clock-in and only accepts a clock-in from inside the zone you set for that home. Nothing is tracked between clock-in and clock-out, and stored locations are rounded to about 100 metres and cleared after 90 days.

Does Kiwi Rota do payroll?

No. Kiwi Rota produces a gross-pay export, as CSV or PDF, with hours, rates, sick days, holiday, deductions, additions and gross pay, for your payroll provider. It doesn't calculate tax, National Insurance or pensions.

Does Kiwi Rota track sickness and absence?

Yes. Managers record sickness, absence and no-shows against shifts. Kiwi Rota shows a Bradford factor score and a 12-month summary for each person, and sickness details are limited to the people who need them.

How much does Kiwi Rota cost?

£69 per home per month, with any number of staff. You can add it to Kiwi or use it on its own.

Do I need Kiwi to use Kiwi Rota?

No. Kiwi Rota works on its own. If you also use Kiwi, managers can open Kiwi Rota from Kiwi's top bar. The two have separate sign-ins, and staff details aren't shared between them.

Is Kiwi Rota a rota system for learning disability and supported living services?

Yes. Kiwi Rota plans shifts across several homes, houses or services in one company, including overnight shifts, with clash checks so nobody is booked in two places at once. Staff who work across sites appear on each site's rota, and each person clocks in on their phone at the service they're working in.
